Choosing the Right ERP for Your Growing Business

ERP selection goes wrong long before the software is chosen. It goes wrong when a business shortlists products before understanding its own processes, weights the decision on a feature grid, and budgets for licences while forgetting that implementation usually costs more than the software.

Start with the pain, not the products

Before you look at a single demo, write down the five things that hurt most. Not "we need better reporting" — something specific and measurable. "We do not know true stock value until the 15th of the following month." "Three people re-key the same sales order into three systems." "We cannot tell which products are actually profitable after rejections."

That list becomes your evaluation criteria and, later, the definition of a successful project. Anything a vendor demonstrates that does not address one of those five items is entertainment.

Understand what you are really buying

There are three broad categories, and the honest answer for most growing Indian businesses is the middle one.

  • Tier-one enterprise ERP is exceptionally capable and exceptionally expensive to implement. Below a few hundred crore in turnover, the implementation cost and internal disruption rarely justify it.
  • Mid-market configurable ERP, such as our own Seven ERP, covers finance, inventory, production and sales properly, localises for GST and Indian statutory needs, and rolls out in months rather than years.
  • Fully custom ERP makes sense only when your competitive advantage genuinely lives in a process no packaged product handles. That is rarer than most founders think, and we say so during evaluation.

Budget for the whole thing

Licence or subscription cost is typically 30 to 40 percent of the first-year total. The rest is implementation, data migration, customisation, training, infrastructure and the internal time your own people will spend. A project quoted at ₹5,00,000 in licences with no implementation budget is not a ₹5,00,000 project; it is a stalled one.

Ask every vendor for a total first-year and three-year cost, including what happens when you add 20 users, open a second location, or need a report that does not exist yet.

Test with your own data

Demos are choreographed. Insist on a proof of concept using a sample of your real master data — your item codes, your customer list, your price structures, your GST scenarios. Ask the vendor to run three transactions you actually struggle with today. This single step eliminates more unsuitable products than any feature comparison.

Weigh the partner as heavily as the product

The implementation partner determines the outcome more than the software does. Ask who specifically will run your project and whether they have delivered in your industry. Ask what happens when a migration reconciliation does not balance. Ask for two references you can call — including, ideally, one project that ran into trouble, and what they did about it.

Plan a phased rollout

Big-bang cutovers are how ERP projects earn their reputation. Pick the department in the most pain, go live there, learn, then expand onto a platform that is already proven inside your business. Run parallel until the numbers reconcile, and do not switch off the old system until two clean month-ends have passed.

Assign an internal owner

Every successful implementation we have delivered had one person inside the client organisation with authority to make decisions and time allocated to the project. Every troubled one had a committee. Whoever it is needs to be senior enough to change a process, not just approve a screen layout.
